Why one connected view matters
A sales invoice, a stock movement and a customer payment describe different parts of the same business activity. When these records are followed separately, the team can struggle to explain what was sold, what is available and what remains unpaid. Start by defining which document records each step and who is responsible for it.
Keep purchase and receipt distinct
Imagine buying ten units from a supplier. The purchase document records the commercial transaction; the receipt records the physical arrival of goods. Follow both steps and check the resulting quantity. If goods arrive in stages, discuss how the portal handles that workflow in your demonstration rather than assuming every delivery is complete.
Use consistent product records
Agree on product names, codes and units before importing or entering your stock. Avoid creating a second product simply because another team member uses a different spelling. Where your business needs serial tracking, test it with a sample device. Clear product records make searches and stock review easier.
Follow a sale through collection
Now sell two units to a sample customer. Review the sales invoice and the stock workflow, then record part of the payment. The remaining customer balance should be easy for your team to locate. Check the process with the supplier, including the relationship between the invoice and stock movement, before relying on it for daily work.
Review quantities and balances together
At the end of a working period, review available stock, purchase receipts, sales documents and unpaid customer amounts. An unusual quantity or balance deserves a review of the original documents. Agree who can investigate and correct records, and ask which permission controls are available for that responsibility.
Make the demo answer concrete questions
Ask the presenter to show the original purchase, the receipt, the sale and the customer position using the same sample records. Invotora supports purchasing, separate goods receipt, inventory, invoices, partial collections and reporting in a workspace available in Arabic, English and French. Available reports include 28 report types; ask which ones answer your operational questions.
Where the AI assistant fits
In Advanced, the Invotora AI assistant can query balances and customer positions, create invoices and produce reports. Try a simple request such as asking for a customer balance, then review the result against the records. Agree how invoice creation works and what review or confirmation steps apply during your demo; do not assume a confirmation policy that has not been shown.
